How do I add the value of existing Assets into a Fixed Asset Journal?

When preparing a new company database, you will probably have existing Assets that need to be added to the system.  Add these either by Import, or add them manually through the Right-Click/Add mechanism.   To add the value of the items into the system, follow these steps (let us assume you wish to start trading on 1st July):

  • Open the Fixed Asset Journal screen
  • For each Asset, you need two entries.  The first has the method of “Aquisition”, using the purchase price of the Asset, and the actual date of purchase.  The “Post to GL” box must remain unticked
  • The second entry is for method “Depreciation”, for the value of the accumulated depreciation to date on that item, dated 30th June.  The “Post to GL” box should also be unticked

Once you have added these two lines for each Asset (or imported them if previously prepared in a spreadsheet), you can select Process and Close.

The final step is to perform a Journal from the General Ledger screen.  The first line is to the Asset Control account, for the total value of all the above assets, at the purchase value.  The second line is to the Accumulated Depreciation account, for the total of the depreciation of the above assets.  This should be dated 30th June.

 

How do I create a new financial year in Sybiz Vision?

Although Sybiz Vision has no structured End-of-Year process, you will need to create a new posting year every 12 months.

Do this from the General Ledger Ribbon, by clicking on the Utilities button, then choosing “Create New Financial Year”.

This will add a new year to the Period list, and remove the oldest year from the list.  You will still be able to view transactions and report on the year that is removed, but you will no longer be able to post back into any of those months.  Remember to then go to Period Maintenance, and make the required new periods available for posting by ticking “Allow”.

I am getting a warning that my software is locked, or has only a few days before it locks

On the login screen, you may see a warning in red text that your software is locked, or has x number of days left before it locks.  Firstly, ensure your SybizCover is up to date.  Then, click on the Licensing button, and choose Request/Renew a license.  Click yes on the next message, and you will be taken to a screen where you can confirm contact details for your business.  Once you have checked and corrected these, click on Submit.  The software will confirm your details that are stored with Sybiz, and if everything is in order, your unlock will be confirmed for a further 12 months.

Your Sybiz software needs to be unlocked every 12 months.
